Google Calendar
Put your booked jobs on a Google Calendar automatically. Pick the calendar, pick which statuses count as booked, and Joby keeps the events up to date.
You'll need Owner or Admin access for this.
What it is
Google Calendar is a connection between Joby and one Google account. Once it is switched on, every job that reaches a status you have chosen — and that has a date and time on it — turns into an event on a Google Calendar, by itself, within about a minute.
You set it up in one place: Settings›Connections & AI›Integrations›Google Calendar. The page is titled Google Calendar and carries the line Push scheduled jobs to a Google Calendar — by lead status.

Three things are worth knowing before you go any further:
It only goes one way
Joby pushes to Google. The connected card says it plainly: Jobs sync one-way from Joby to Google. Nothing you type into Google comes back into Joby.
You choose what counts
Only jobs sitting in the statuses you tick get an event. Move a job out of those statuses and its event is removed again.
A time is required
A job with no date and time has nowhere to sit on a calendar, so it is skipped — even if its status is on your list.
One Google account is connected per company, not per person. Everyone in the office sees the same events, because they are all on the same Google Calendar.
When to use it
- Your office already lives in Google Calendar and you would rather not ask everybody to check two schedules.
- You want the day's booked work to show up in the calendar app on a phone or tablet, next to everything else.
- Somebody who does not have a Joby login — an owner, a partner, an answering service — needs to see when work is booked. Connect the account, then share that Google calendar with them from Google.
- You want a second, independent copy of the schedule that survives whatever else is going on.
It is not the right tool if you want to book work in Google and have it appear in Joby — nothing travels in that direction. Use Appointments for customers booking themselves in, and the Leads calendar view when you just want to look at the schedule inside Joby.
Before you start
- You need to be an owner or an admin. Connecting, saving the settings and disconnecting are all blocked otherwise — you get a message reading Only an owner or admin can connect Google Calendar.
- Your role needs the Integrations permission. It sits under Settings›Team Roles in the Admin & Settings group, named Integrations. Without it the whole Integrations page is hidden.
- Have the right Google account to hand. Sign in with the account that owns the calendar the office should be looking at. A personal account nobody else can see is the most common regret here.
- The calendar must be one you can edit. The calendar list on this page only offers calendars your Google account has editing rights to. A calendar somebody else shared with you read-only will not appear.
- Your statuses should already exist. The status buttons on this page come straight from Settings›Lead Statuses. If none are set up yet, the page shows No lead statuses found. and there is nothing to tick.
- Check your company timezone. Event times are written using the timezone under Settings›Company Settings›Timezone. If that is wrong, every event lands at the wrong hour.
- Your company may use different words. "Lead" can be renamed for your account, so the wording on the page may read "Job status" or similar rather than "lead status".
Step-by-step
1. Open the page
- Click Settings in the left menu.
- Under Connections & AI, click Integrations.
- Click the Scheduling category button, or type calendar into the search box at the top of the page.
- Click the Google Calendar tile. Before you have connected it, the tile reads Available with a Connect label; afterwards it reads Connected with a Manage label. Either way it opens the same page.
2. Connect your Google account
- On the Connect Google Calendar card, click the Connect Google Calendar button.
- Google takes over. Choose the account you want to use, then allow Joby to manage events on your calendars.
- You are brought back to the Joby page. A message reads Google Calendar connected, a green Connected badge appears next to the page title, and a card shows Connected: your address@gmail.com.
If Google sends you back with an error
You get a red Could not connect Google Calendar message with the reason underneath. Almost always the fix is simply to click Connect Google Calendar again and go through it without pausing — the sign-in only stays valid for about fifteen minutes, so a half-finished attempt left open in another tab will fail. If Google asks whether to allow access, you must say yes; declining brings you back with an error and nothing connected.
3. Choose the calendar
- Under the heading Calendar, open the drop-down. It lists every calendar on that Google account you are allowed to edit, with (primary) after your main one.
- Pick the calendar the jobs should go on. Joby pre-selects the primary one so the box is never empty.
Many companies make a separate Google calendar first — "Field Schedule", say — so that Joby's events do not mix in with personal appointments. Create it in Google, then come back and pick it here.
4. Choose which statuses sync
- Under Sync jobs in these statuses you will see a button for each of your statuses.
- Click a status to switch it on — it turns coloured and gains a tick. Click it again to switch it off.
- Keep it tight. Statuses that mean "this work is actually happening" (for example Scheduled, Dispatched, In Progress) belong here. Statuses that mean "we are still talking about it" usually do not.
The page explains the rule in one line: Leads in a selected status (with a date/time) get a calendar event. Remove the status and the event is removed.
5. Save
- Click Save changes at the bottom right of the card.
- A short Saved message confirms it.
Important: saving does not go back and fill in the jobs you already have. Jobs that were already sitting in a status you have just ticked appear on the calendar the next time somebody changes that job's status or its start or end time. Existing work carries on as normal — see Common mistakes for how to nudge a job across.
How to check it worked
- The connection itself: the page shows a green Connected badge beside the title and a card reading Connected: followed by the Google address you signed in with. Back on Settings›Integrations, the Google Calendar tile shows a green tick, the word Connected, and a Manage label instead of Connect.
- The settings saved: leave the page and come back. Your calendar and your ticked statuses are still the ones you chose.
- A real job: take one job, give it a start date and time, and put it in a status you ticked. Wait about a minute, refresh Google Calendar, and the event should be sitting on that day with the customer's name on it.
- Removal works too: move that same job to a status you did not tick, or clear its date and time. The event disappears from Google within about a minute. This is the quickest proof that the connection is really live.
A five-minute test that catches everything
- Create a test job with tomorrow's date and a clear time.
- Put it in one of your ticked statuses and save.
- Refresh Google Calendar — check the day, the hour and the address.
- Change the job's time by an hour in Joby and refresh again — the event moves.
- Move the job to a status you did not tick — the event vanishes. Delete the test job.
Common mistakes
"I ticked the status and nothing appeared"
Saving here changes the rule from now on; it does not sweep up the jobs already in that status. To bring an old job across, open it and change its status or its start time — that is the moment Joby looks at it again.
"I fixed the address but the event still shows the old one"
An event is rewritten when the job's status, start time or end time changes. Editing only the address, phone or notes does not push an update on its own. Nudge the start time by a minute and back, and the event catches up.
Jobs with no time booked
A job with a status you ticked but no date and time is skipped silently. If a job will not appear, the missing start time is the first thing to check.
Deleting the event in Google
That does not cancel anything in Joby, and it does not stick: the next time the job's status or time changes, Joby puts the event back. Cancel work in Joby, not in Google.
- Expecting it to work both ways. An appointment you type into Google never becomes a job in Joby, and moving an event in Google does not move the job. Treat the Google calendar as a read-only mirror.
- Connecting a personal Google account. Everything then hangs off one person's inbox. Use a shared company account, or share the chosen calendar with the team from inside Google.
- Ticking every status you have. Enquiries that are still being quoted will clutter the calendar and then vanish again as they move along. Pick the two or three statuses that genuinely mean "booked".
- Renaming a status afterwards. This page remembers the statuses by name. If you rename one under Settings›Lead Statuses, come back here, tick the new name and press Save changes again.
- Assuming disconnecting cleans up. It does not. Events already on the Google Calendar stay exactly where they are and have to be deleted in Google by hand.
- Everyone in the office is looking at their own calendar. The events go to one calendar on one Google account. Share that calendar in Google with whoever needs it.

What each event looks like
Joby fills the event in for you. You do not choose the wording, so it is worth knowing what your team will see in Google.
- Title — the customer's name, then the service type after a dash if the job has one. A job booked into an arrival window rather than an exact time also carries the window in brackets, for example Jane Miller — Garage Door Repair (Morning). If there is no name on the job, the job number is used instead.
- Where — the job's street address, town, state and postcode, so the Google event can be tapped straight through to maps.
- Details — the arrival window if there is one, the job number, the customer's phone number, any notes on the job, and a link back to the job in Joby.
- When — from the job's start time to its end time. If the job has no end time, the event is one hour long. Jobs booked into an arrival window still span the real hours of that window, with the window named in the title.
Times are written in your company timezone, taken from Settings›Company Settings›Timezone. If events look an hour or three out for everybody, that setting is the place to look first — not Google.
Changing it later
Go back to Settings›Connections & AI›Integrations›Google Calendar at any time. The page opens with what you already chose.
- Adding a status — tick it and press Save changes. Jobs entering that status from now on get an event.
- Removing a status — untick it and save. Jobs already in it lose their events the next time their status or booked time changes.
- Switching calendar — pick a different one and save. Events already written to the old calendar stay there; new and updated jobs go to the new one. Tidy the old calendar up in Google if you do not want a split view.
Disconnecting
- Open Settings›Connections & AI›Integrations›Google Calendar.
- Click Disconnect on the connected card at the top.
- A window headed Disconnect Google Calendar? warns you: New jobs will stop syncing. Events already on the Google Calendar are left in place. Click Disconnect to go ahead, or Cancel to back out.
- A Google Calendar disconnected message confirms it and the page returns to the Connect Google Calendar card.
Nothing further is pushed to Google from that moment. Old events remain on the Google Calendar until somebody deletes them there. Your calendar choice and your ticked statuses are remembered, so reconnecting later usually takes one click and a quick check of the settings.
Tip: if you only want to pause things for a week — a holiday shutdown, for instance — untick every status and save instead of disconnecting. The account stays connected and you switch the statuses back on when you are ready.
Who can do what
- Seeing the page — any role whose Integrations permission is switched on under Settings›Team Roles.
- Connecting a Google account — owners and admins only. Anyone else gets Only an owner or admin can connect Google Calendar.
- Changing the calendar or the statuses — owners and admins only. Anyone else gets Only an owner or admin can change this setting.
- Disconnecting — owners and admins only.
The connection belongs to the company, not to the person who set it up. If that person leaves, an owner or admin should disconnect and reconnect with an account the business controls. See Team Roles & Permissions for the full permission list.
