Facebook Lead Ads
Connect your Facebook Page so that every lead form submission from your ads opens a job in Joby by itself — with the customer's answers dropped into the right fields, the status and owner you choose, and nothing typed in by hand.
You'll need Owner or Admin access for this.
What it is
When somebody taps your Facebook or Instagram ad and fills in the little form that slides up without leaving the app, that is a Facebook Lead Form submission. Normally those sit in Facebook waiting for someone to download them. Facebook Lead Ads in Joby collects them for you: the moment a person hits submit, Joby opens a job for it.
You set it up on one screen — Settings›Connections & AI›Integrations›Facebook Lead Ads. The heading there reads "Send new Facebook form submissions into the Joby lead pipeline." On a phone the screen has a back arrow that takes you to Integrations.

There are four things you tell Joby on that screen, and they are always in this order:
1. Which Facebook account
You sign in once with the Connect Facebook button and choose which of your Pages Facebook is allowed to share with Joby.
2. Which Page and which forms
A Facebook Page drop-down and a Lead Forms list of tick boxes. Only the forms you tick are collected.
3. Where each answer goes
A Field mapping block for every ticked form, so "What's your ZIP?" lands in the Zip box and not in a wall of notes.
4. How the job should start
A Default lead status and a Default owner, so every Facebook job arrives in the right column with a name against it.
One more thing worth knowing up front: nothing is collected until you press Save integration. Connecting your Facebook account on its own does not bring in a single job.
When to use it
- You run Facebook or Instagram ads with an instant form attached and you are downloading those leads by hand today.
- Enquiries are being missed or answered hours late because nobody checks Facebook's lead centre.
- You want Facebook enquiries counted next to your phone and web enquiries in your reports.
- You want your Facebook leads to trigger the same follow-up automations as everything else.
- You run more than one Page, or more than one form per Page, and each needs its own service type.
It is not the right tool for a Facebook message or a comment on a post — this only covers lead form submissions. For enquiries that arrive from a partner or a marketplace, see External Lead Sources. For everything else, the full list of connections lives in Integrations.
Before you start
- Your role needs Integrations access. An owner or admin turns this on under Settings›People›Team Roles. Without it the Integrations page is hidden altogether.
- Only an owner or admin can save or disconnect. Anyone else who reaches the screen and presses Save integration gets "Only an owner or admin can change this setting".
- On Facebook's side, you need to be able to manage the Page. Sign in with an account that already administers the Facebook Page the lead form belongs to. If you are not that person, sit with them for the two minutes the connection takes.
- The lead form has to exist in Facebook first. Joby lists the forms that are already on the Page — it does not create them. A Page with none shows "No lead forms found for this Page."
- Have your statuses ready. The Default lead status list only offers statuses that are switched on under Settings›Pipeline›Lead Statuses, and Save integration stays greyed out until you pick one.
- Have your service types ready. The per-form service type drop-down only offers active entries from Settings›Pipeline›Service Types. Leave it alone and every job from that form arrives with the service type Facebook Lead, which is probably not one of yours.
- Add an ad source called Facebook. Every job that comes in this way is stamped with the ad source Facebook. Create a matching entry under Settings -> Pipeline -> Ad Sources so your reports group these jobs properly.
- Your own fields show up in the mapping. Anything you have created under Settings -> Business -> Custom Fields appears in the mapping drop-downs, and you can also create a new one without leaving this screen.
- Your company may use different words. "Lead" and "Office Agent" can be renamed for your account, so your screen may say "Job" and "CSR" where this guide says lead and agent.
Ready to connect. Open Settings›Connections & AI›Integrations, choose Facebook Lead Ads, and connect the Facebook account that manages your Pages and Lead Forms.
Step-by-step
1. Connect your Facebook account
- Go to Settings›Connections & AI›Integrations›Facebook Lead Ads.
- Read the yellow box headed Choose your Pages in the Facebook window before you click anything. This is the step people get wrong.
- Click Connect Facebook. A Facebook window opens on top of Joby.
- Sign in, then work through Facebook's own screens. When Facebook asks which Pages to share, tick the Page your lead forms belong to. If the list looks empty, use Edit settings — or Opt in to all — to reveal it.
- Finish in the Facebook window. Joby shows Facebook connected, a green Connected badge appears at the top right, and a card reads Connected: your Facebook name.
Facebook lets you finish without sharing a Page
If you click through that step, your account connects perfectly and Joby has nothing to watch. The screen then says No Facebook Pages shared yet and shows a box headed Facebook didn't share any Pages with Joby with a Reconnect and choose Pages button. Click it and go round again, slowly.
2. Choose the Page and tick the forms
- Pick your Page from the Facebook Page drop-down (it shows Select a Page until you do).
- The Lead Forms list underneath fills with the forms on that Page. Click a form to tick it — it turns highlighted with a tick on the right. Click again to untick.
- Tick every form you want collected. Anything left unticked is ignored completely, even if it is live in Facebook.
- The Pipeline drop-down next to the Page sits on Default Joby pipeline and cannot be changed. That is normal.
3. Set the service type for each form
- As soon as a form is ticked, a block appears for it with Service type for this form's leads at the top.
- Pick the kind of work that form sells. The list is your own service types.
- Leave it on None — use "Facebook Lead" only if you genuinely want a catch-all. Every job from that form will then read Facebook Lead as its service type.
4. Check where each answer lands
- Under Field mapping you get one row per question on the form, with the question on the left and a drop-down on the right.
- Joby fills these in for you as best it can — a question that asks for an email is pointed at Email, one that asks for a ZIP at ZIP / postal code, and so on. Read them anyway.
- Change anything that looks wrong using the drop-down. The choices are grouped: Lead (name, company, email, phone, job type), Address (street, unit, city, state, ZIP, country), your Lead custom fields, your Client custom fields if you have any, and Other.
- Under Other there is Notes only and Don't import. Both are safe — every answer is written into the job's notes regardless, so nothing is ever thrown away.
- Need somewhere new to put an answer? Open the drop-down and choose Create custom field…. Give it a Field name, pick a Type, and click Create field. It becomes a real custom field you will see on every job, not just Facebook ones.
- If you have made a mess of it, Re-suggest all at the top right of the block resets every row to Joby's own suggestion.
The line above each block keeps score — something like "4 of 7 questions mapped to a field. Everything else still goes to the lead's notes."
5. Set the default status and owner
- Default lead status — the status every Facebook job starts in. Most teams use their "New" or equivalent first status so these land at the front of the pipeline.
- Default owner — the office agent whose name goes on every Facebook job. Choose Unassigned if you would rather share them out yourself.
6. Save
- Click Save integration at the bottom right. You get a Saved confirmation.
- The button stays greyed out until at least one Page has at least one form ticked and a default status is chosen.
- Saving is the moment collection actually starts. Submissions made before this point do not come across.
7. Add another Page (optional)
- Pick the second Page from the Facebook Page drop-down.
- Tick its forms, set their service types, check their mapping.
- Click Save integration again. Your earlier Page keeps everything it had — small badges under the drop-down list each configured Page with how many forms it has, like Main Page: 2.
How to check it worked
- On the setup screen. The card at the top should read Connected: your name with "2 Pages configured" under it, and each configured Page should have a badge with its form count.
- Press Test connection. A healthy setup answers Connection verified — "2 Pages and selected Lead Forms are accessible."
- Send yourself a real one. Open your ad on your own phone and submit the form with your own details. This is the only test that proves the whole path.
- Look in Work›Leads. A new job appears at the top of the All tab within a minute or so, in your default status, with your default owner on it.
- Open the job. The mapped answers should be sitting in their proper boxes — name, phone, email, address, your own fields — and the ad source should read Facebook.
- Read the notes. They start with "Facebook Lead Ads submission.", then the campaign, ad set and ad the person came from, then every question and answer.
Different answers to Test connection
Finish setup means the account is fine but you have not chosen a Page and form yet. Connection needs attention means something Joby was watching can no longer be reached.
The address is looked up too
If the form collected an address, the new job is placed on Leads Map shortly after it arrives — another quick way to confirm it landed.
Common mistakes
Rushing Facebook's Page step
By far the most common one. The account connects, nothing ever arrives, and the screen says No Facebook Pages shared yet. Use Reconnect and choose Pages and tick the Page this time.
Ticking forms and walking away
Ticks are not saved by themselves. If you did not press Save integration and see Saved, nothing is being collected.
Expecting yesterday's leads
Only submissions made after you saved come across. Anything already sitting in Facebook has to be brought in another way, such as Import Leads.
A form with no phone and no email
Joby needs at least one way to contact the person, plus a name or a company. A form that asks for neither a phone number nor an email address cannot open a job. Fix the form in Facebook.
- Leaving the service type unset. Jobs then arrive as Facebook Lead, which usually is not one of your service types, so your reports and filters look odd. Set it per form, or add "Facebook Lead" as a real service type.
- Choosing a status or owner and later switching it off. Saving afterwards is refused with "Selected lead status is not active" or "Selected owner is not active". Pick something live and save again.
- Picking a service type that has since been retired. You get "…is not an active service type". Choose another, or turn the old one back on under Settings›Pipeline›Service Types.
- Renaming or deleting a form in Facebook. Joby is still watching the old one. Test connection reports "One or more selected Pages or Lead Forms could not be reached." Reopen the screen, tick the current form, save.
- Assuming both forms on a Page ask the same things. They rarely do, which is why the mapping is per form. Check each block separately.
- Worrying about repeat customers. If the phone number or email already belongs to a client, the new job is attached to that existing client rather than creating a second one — and any blanks on their record are filled in from the form.
- Disconnecting to "pause" it. Disconnect stops new submissions from arriving, and the warning says so: "New Facebook Lead Form submissions will stop entering Joby. Existing clients and leads stay in Joby." Your history is safe, but you have to set the Pages, forms and mapping up again when you reconnect.

What lands on the job
Every submission that arrives produces the same shape of record.
- A client — matched to an existing one by phone number first, then email, or created fresh if neither matches.
- A job against that client, in your Default lead status, with your Default owner on it.
- Service type — a question you mapped to job type wins, then the service type you chose for that form, otherwise Facebook Lead.
- Ad source — always Facebook.
- Contact and address boxes — filled from whatever you mapped.
- Your own fields — filled from any question you pointed at a custom field.
- Notes — the campaign, ad set and ad the person clicked, then every question and answer, whatever the mapping says.
- The date — the moment the person actually submitted the form in Facebook, not the moment it reached Joby.
- An entry in the job's history showing it was created by your default owner, or by "Facebook Lead Ads" if you left it unassigned.
Because a real job is created, everything else in Joby reacts to it as normal — your Visual Workflows can text the customer straight back, and the job counts in Lead Reports like any other.
Field mapping in detail
The mapping is saved per form, never per Page, because two forms on one Page routinely ask completely different questions. Each row shows the question as your customer sees it, with the internal name Facebook uses underneath it in small grey type — handy when two questions read almost the same.
What you can point an answer at
- Lead — Full name (splits into first + last), First name, Last name, Company, Email, Phone, Job type.
- Address — Street address, Unit / apt, City, State, ZIP / postal code, Country.
- Lead custom fields — everything you have created, plus Create custom field… at the bottom.
- Client custom fields — only shown if your account has some. Use these for facts about the person rather than the job.
- Other — Notes only and Don't import.
Tip: map Full name rather than fighting with it. Joby splits the answer into first and last name for you, and an explicit first-name or last-name mapping still wins if the form happens to ask for both.
Creating a field without leaving the screen
- Open the drop-down on the question and choose Create custom field….
- The New Lead Custom Field window opens with the question's wording already in Field name — change it to something your team will recognise.
- Pick a Type: text, textarea, number, select, date or checkbox.
- If the Facebook question was multiple-choice and you pick select, the choices are copied across for you and the window tells you how many.
- Click Create field. You get a Custom field created confirmation and the question is pointed at it straight away.
Two small things people ask about. A multiple-choice answer with several ticks arrives as one line separated by commas. And a form with nothing Facebook is willing to share shows "This form has no questions Facebook will share, so there's nothing to map." — tick it anyway if you want the job created from the campaign details alone.
Keeping it healthy
Test connection
Checks that every Page and every ticked form can still be reached. Worth a click whenever you change your ads, and after anyone touches your Facebook Business settings.
Reconnect
A red box headed Facebook needs to be reconnected with a Reconnect button appears when access is lost. Sign in again and tick the same Pages.
Disconnect
Asks Disconnect Facebook Lead Ads? first. New submissions stop; the clients and jobs you already have are untouched.
Things that quietly break the connection, and what to do about each:
- Somebody removed your access to the Facebook Page. Get it back on Facebook's side first, then press Reconnect.
- The person who connected it left the company. Reconnect with an account that will still be around, then check the Pages and forms are still ticked and save.
- A form was retired and replaced. Tick the new one and untick the old one, then save.
- Leads stopped for no obvious reason. Press Test connection first — it tells you whether the problem is access, an unfinished setup, or a missing form before you start guessing.
Who can do what
- Seeing the screen — any role with the Integrations permission under Settings›People›Team Roles.
- Connecting Facebook — owners and admins.
- Saving the Pages, forms, mapping, status and owner — owners and admins.
- Disconnecting — owners and admins.
- Working the jobs that arrive — anyone whose role can see Leads. Nothing extra is needed.
