Field Worker Portal
A personal web page for each field worker or subcontractor. They open one link on their phone — no app, no password — and see the jobs assigned to them, when they start, what they are being paid, and a message box back to your office.
What it is
The Field Worker Portal is a private web page that belongs to one person on your crew. You send them their link once; they bookmark it on their phone and open it every morning. There is no app to install, no account to create and no password to remember.
What they see on that page is only their own work: the sections of a work order you assigned to them, the customer name and address, the start time, their payout, and anything you typed in Notes for the field worker. They can send a message back to your office about a whole section or about one single line on the job.

No login
The link itself is the key. Anyone holding it sees that one person's work, which is why the menu also lets you switch a link off or replace it.
Only their own scope
Other people's sections, your internal notes and (unless you switch it on) what the customer is paying never appear.
Two-way messages
Their reply lands on the exact section or line item it is about, inside the job, not in somebody's text messages.
The portal is fed by work orders. A work order is the job sheet you build from a signed estimate, split into sections, with one person and one payout per section. If you have never built one, read Work Orders first — this guide picks up from the moment a section has somebody's name on it.
When to use it
- You use outside subcontractors who should never have a login to your account.
- You are tired of re-texting the address, the gate code and the start time to the same person every week.
- Two or three different people are working the same job and each needs only their part.
- A worker keeps asking "what am I getting paid for this?" — the portal shows their payout, what has been paid, and what is still owed.
- You want questions from the field written down against the job instead of scattered across phone calls.
Use it instead of a Joby login when the person is not part of your office team. If somebody genuinely needs to open leads, change job statuses and clock in, give them a real login instead — see Field Workers. The two can co-exist: a field worker with a login still has a portal link, and plenty of companies send the link because it opens straight to today's job.
Before you start
- The person has to exist as a field worker or subcontractor. Add them under Settings›Team Members with the Add Team Member button, then pick either Field Worker — Joby User or External Subcontractor — No Login. Office agents have no portal, because they are not the ones going out to the job.
- Give them an email address or a phone number. The portal link travels by email or text. Without an email the Send invite email option is greyed out and you get "This field worker has no email on file".
- Check their notification methods. In the same Add/Edit window there is a Lead Notification Method row with Email, SMS and (for people with a login) In-app tick boxes. If none is ticked you get the warning "Pick at least one method, or this field worker won't be notified." SMS also needs your phone registration finished.
- Work Orders has to be switched on for your account. It is on by default. If Work Orders is missing from the Work group in the left menu, contact support to have the module turned on.
- Your role needs the right access. Opening and editing work orders needs Leads access, and managing the portal link from Settings›Team Members needs team management access. Both are set under Settings›Team Roles.
- Your company may use different words. "Field Worker" and "Office Agent" can be renamed for your account, so your buttons may read "Technician" or "Crew" instead.
Step-by-step
1. Send somebody their portal link
- Go to Settings›Team Members.
- Click the Field Workers or External Subcontractors tab to find the person, or just type their name in the Search by name, email or phone box.
- At the end of their row, click the chain-link button (it is labelled Field worker portal when you hover). A small menu headed Field Worker Portal opens.
- Choose Send invite email. They get an email titled "your field worker portal" with an Open My Portal button, and you see the confirmation "Portal invite sent to ...".
- To send it yourself by text or chat instead, choose Copy portal link — you get "Portal link copied to clipboard" and can paste it anywhere.
Tip: tell them to bookmark the page or add it to their home screen. The same link works forever — it does not expire after a job — so they never need a new one unless you deliberately replace it.
2. Put work into their portal
Nothing appears in a portal until a work order section has their name on it. From the job:
- Open Work›Work Orders in the left menu and click the work order.
- In the Sections area, use Add section to split the job (for example Demolition, Electrical, Tile), or use Assign everything to... at the top right if one person is doing the lot.
- On each section, set the Field Worker drop-down (it reads Unassigned until you do).
- Set Payout. Auto (item costs) adds up your own cost on each item in that section; Fixed $ and Percent let you type an amount instead. Whatever this says is the number the worker sees as "your pay".
- Fill in Starts and Ends. Those two boxes are what put the job on their schedule and calendar.
- Use Notes for the field worker for the things they always ring you about — the placeholder suggests it: Gate code, where to park, what to bring...
Everything on this screen saves the moment you leave the box, so there is no Save button to hunt for.
3. Send it to the field
- Click Send at the top right of the work order. The number in the little bubble next to it is how many sections nobody has sent yet.
- A window called Send to the field opens, grouped by person, with small icons showing which channels they will be contacted on. Anything already sent to its current assignee is left unticked.
- Tick the sections to send. The line under the window reads, for example, 2 sections›1 person, so you can see who you are about to disturb.
- Click Send.
Each person gets a message with the work order number, their scope, the time, the customer, the address, and a link that opens their portal on that job. Nobody sees anybody else's section, and nobody who wasn't ticked is contacted at all.
4. Answer a question from the field
- Open the work order. A message from the crew shows as a badge on the Job discussion card reading N from the field, and their note is tinted with a From the field label.
- Expand Discussion on the section they wrote on, or click the little speech bubble on the line item they asked about (the heading then reads Notes on "...").
- Type your answer and click Post. Enter posts; Shift+Enter starts a new line.
- Leave Internal only unticked. Ticking it keeps the note inside your office and the worker never sees it.
Where a note has to go to be seen
- On a section — the assigned worker sees it. This is the normal one.
- On a line item — the same worker sees it, attached to that line.
- On the job as a whole (the Job discussion card on the right) — office only. The screen says so itself: job-level notes stay in the CRM.
5. Decide whether they see customer pricing
- On the work order, look at the Job details card on the right.
- Find the Show customer pricing switch. It is off to start with, and the small print explains why: field workers see the scope and their payout only.
- Turn it on only when you are happy for that person to see what the customer is paying for each line.
Their own payout is always visible, switch or no switch — it is their pay. The switch is per work order, so turning it on for one job does not affect any other.
6. Replace or switch off a link
- Go back to Settings›Team Members and open the same chain-link menu.
- Disable access makes the existing link stop working straight away. You see "Portal access disabled — the link no longer works".
- Enable access switches the same link back on.
- Rotate link (new link) issues a brand-new address. You are asked to confirm first, and the warning is worth reading: the old link stops working immediately, and access is switched back on if it had been disabled. The new link is copied to your clipboard, so paste it to the worker straight away.
How to check it worked
- The invite went out: you get a green confirmation naming the address, for example "Portal invite sent to sam@example.com".
- A section reached its worker: the little pill on the section header changes from Not sent to Sent 2 minutes ago, and the Progress tile at the top stops saying "N not sent yet".
- What actually went out: the confirmation after sending spells it out per person — for example "Sam: sent via email + sms". If a channel could not be used it says so in the same line.
- The link itself works: paste it into your own browser. You should see your company name and logo at the top and the heading My Work Orders. If you see This link is no longer active, the link has been disabled or replaced.
- They read it: their reply appears on the section or item as a tinted note labelled From the field, and the work order card in their own portal shows N messages from the office when you write back.
Common mistakes
"His portal is empty"
A portal only fills up from work order sections assigned to that person. Assigning them to the lead is not the same thing. Their screen will say Nothing on your plate yet until a section carries their name.
No time on the section
The Schedule list in the portal is built from each section's Starts box. Leave it empty and the job still appears under Work orders, but never on their schedule or calendar.
Answering in the wrong box
A reply typed into Job discussion stays in your office. To reach the worker, write on their section or on the line item. Also check you did not leave Internal only ticked.
Reassigned but not re-sent
Change who owns a section and its pill turns amber: Reassigned — resend. The new person has not been told anything until you press Send again.
- Expecting the worker to tick the job off. The portal is read-and-reply only. Nobody in the field can change a status, a price, a time or a payout — your office does that on the work order. If they finish early, they say so in the message box.
- Forwarding somebody else's link. Every link belongs to one person and shows that person's pay. If a link has been passed around, use Rotate link (new link) and send the fresh one only to its owner.
- Sending with no channel available. The send window warns you before you press the button — "no email · no phone — that channel will be skipped". Fix the contact details in Settings›Team Members first.
- Sending a work order with nobody on it. The Send button stays greyed out, and the window explains: no section has a field worker assigned yet.
- Turning on customer pricing by habit. Leave Show customer pricing off unless there is a reason. It exposes the customer's line prices, and with it your margin on that job.
- Assuming a disabled worker keeps their portal. Mark somebody inactive and sends to them are skipped as "inactive". Disabling their portal access separately is still the cleanest way to close a link when somebody leaves.

What the worker sees
Worth knowing line by line, because it is what they will phone you about. The page is built for a phone but uses the full width of a laptop screen.
The front page
- Your company logo and name across the top, then the heading My Work Orders and a greeting like "Good morning, Sam — 3 active jobs."
- A thin money strip with three figures: Balance due, Paid to date and Upcoming.
- Schedule, with a List / Calendar switch. List shows what is still coming, soonest first. Calendar shows a month grid with arrows to move between months, so past visits can be found there too. When there is nothing ahead, the list says "Nothing upcoming — switch to Calendar to see past visits."
- Work orders — one card per job, finished and cancelled ones sorted to the end. Each card shows the job number, its status, the total pay for their part with the words your pay, the customer, the address, the start time, a chip for each of their sections, and an Open button. If your office has written to them, the card also carries an amber N messages from the office badge.
- Payment history — every payout you have recorded, with the date, the method, any reference number, and which sections it covered.
- With nothing assigned yet they see "Nothing on your plate yet" and "When work is assigned to you, it'll show up right here."
Inside one job
- A My Work Orders link back to the front page, the job number, the status, and the total pay for their part.
- The customer name, the address, and when it starts and ends.
- Your sections — one block per section, each with its own status, its own times, its own payout, and a green progress bar reading "Paid $200 of $500" once you have paid part of it.
- What's included — the items in that section with quantities, photos where you have them, and prices only if you switched on customer pricing. Every line has an Ask button that opens a small box headed About "...".
- Notes for you — exactly what you typed in Notes for the field worker.
- Messages about this scope — the message box, with the prompt "Message the office — running late, need a part, done early...". Your replies are tinted and marked Office; theirs say You.
- Also on this job — items that belong to the work order but to no section. These are for information only and have no Ask button.
What never reaches the portal
- Sections assigned to somebody else, and jobs they are not on at all.
- Your Internal notes on the job — the box itself says "Never shown to field workers or customers".
- Any note posted with Internal only ticked.
- Notes on the job as a whole, rather than on a section or an item.
- Customer prices, unless Show customer pricing is on for that work order.
- The rest of your account: leads, clients, reports, phones, other people's pay.
The money they see
Three figures sit across the top of their front page. All three are built from the Payout you set on each section, so if a number looks wrong, that is where to fix it.
Balance due
Everything assigned to them that has not been cancelled, minus what you have already paid. Never shows a negative figure.
Paid to date
The total of the payments your office has recorded for them, listed one by one under Payment history.
Upcoming
The payouts on sections that are not finished and not cancelled — the work still in front of them.
To make Paid to date move, record the payout in your office: go to Reports›Commission Reports, open the Payments tab and click Record Payment. Pick the worker, tick off which open work the money covers, and fill in the date, the method (Check / Zelle / Cash...) and a reference. It appears in their Payment history immediately, and the section's progress bar fills in. See Commission Reports for the whole payout process.
The five things in the link menu
Everything about a person's portal lives behind the chain-link button on their row in Settings›Team Members (the older Field Workers page has the same button on its rows).
Copy portal link
Creates the link the first time you ask for it and copies it to your clipboard. If access is currently off you get "Portal access is disabled — enable it first" instead.
Send invite email
Emails them a friendly invitation with an Open My Portal button and the plain address underneath. Greyed out when there is no email on file.
Rotate link (new link)
Replaces the address. The old one dies the second you confirm, and access is switched back on if it had been off. Use it when a link has been shared around.
Enable access / Disable access
An on/off switch for the same link. Disabled links show "This link is no longer active", and sending a work order to that person is skipped with the reason "portal disabled".
Worth knowing: Send invite email in this menu is not the same as Give login access in the row's "..." menu. The first shares a no-login page. The second creates a real Joby user who signs in with a password and can open leads. Sending the wrong one is the most common mix-up on this screen.
Who can do what
- Owners and admins — everything: build work orders, assign and pay people, copy, email, rotate, enable and disable portal links.
- Office agents with Leads access — can open work orders, assign sections, set payouts and times, write notes, and press Send.
- Office agents without team management access — will not find Team Members under Settings, and therefore cannot copy, rotate or disable a portal link. Grant it under Settings›Team Roles if they need it.
- Field workers with a login — see the work orders they are on inside the app, without your customer pricing unless that job has it switched on. They still have a portal link as well.
- Anybody holding a portal link — can read that one person's jobs and post messages on their own sections. They cannot change anything, and they cannot press Send to anyone.
Roles are edited under Team Roles & Permissions.
If something looks wrong
- "This link is no longer active" — the link was disabled or replaced. Open the chain-link menu and choose Enable access, or Rotate link (new link) and send the fresh one.
- The worker says the message box will not send — they will have seen "Couldn't post that — refresh and try again." Ask them to reload the page; if it keeps happening, their link was probably switched off mid-job.
- Their pay reads $0 — the section is on Auto (item costs) and none of its items has a cost on them. Click the small "how?" link under the payout to see the breakdown, or switch to Fixed $ and type the amount.
- The job is on their list but not on their schedule — the section has no Starts time.
- Nothing arrived by text — check SMS is ticked in their Lead Notification Method, that they have a phone number, and that your phone registration is complete. The send confirmation names the channel that failed.
- They can see prices you did not intend — turn Show customer pricing off on that work order. It is per job, so check the other open jobs too.
