Service Plan Customer Portal
The web page your customer opens to read their membership, activate it with a card, watch their visits tick along, and cancel if they need to. This guide covers how the page is built, how the link gets to them, and how to tell it worked.

A short screen recording of the whole journey — building a plan, sending the invite, and what the customer sees — will be added to this spot. Until then, the written steps below cover every screen.
A service plan is a membership you sell: a customer pays you on a schedule and you owe them a set number of visits in return. The customer portal is the one web page that customer gets. It is not part of Joby — they do not log in, they do not need an account. They click a link in an email and land on a page with your logo at the top that shows exactly what they are buying (or what they already bought).
The page changes depending on where the customer is up to:
Before they pay
A blue Plan invitation banner, the price, what is included, and one big Activate my plan button.
After they pay
A green Membership active banner with the next renewal date, and a Visits this cycle bar that fills up as you deliver.
If they want out
A Need to cancel? card at the bottom. Cancelling always takes effect at the end of the cycle they already paid for.
You never build this page. It is generated for each customer the moment you assign them a plan, and it fills itself in from the plan you set up under Settings›Service Plans and your company details under Settings›Company Settings.
When to use it
- Selling a maintenance membership, a seasonal package or any repeat-visit deal, and you want the customer to enter their own card rather than reading it out over the phone.
- A customer asks "what exactly am I paying for again?" — send them the same link and every detail is on it.
- A customer wants to cancel. Point them at the link instead of doing it for them; the page walks them through it and tells them the exact date service ends.
- A renewal payment failed. The page turns into Payment past due with an Update payment method button.
Use Estimates instead for a one-off quote for a single job — estimates are signed and paid once. A service plan is for money that comes in again and again on a schedule.
Before you start
- Service Plans has to be switched on for your account. If it is not, there is no Service Plans entry under Settings and no Service Plans tab on customer records. Ask your account owner.
- You need Settings access to build a plan. Settings›Quotes & Docs›Service Plans is where plans are created and edited, and that section only opens for roles with Settings permission.
- Your role needs the Service Plans tab. Assigning and sending happens from a customer record. An owner or admin turns this on under Settings›Team Roles — it is called Service Plans tab and it appears twice, once under Client tabs and once under Lead tabs.
- Card payments must be set up. The Activate button hands the customer to a secure checkout run by Stripe. Set this up first from Reports›Payments in the left menu — the Activate Joby Pay card walks you through it. Without it the customer taps Activate and gets a red line reading Stripe is not connected for this organization.
- At least one plan has to exist. Build it under Settings›Service Plans›New plan. The assign window says No plan templates yet until you do.
- The customer needs an email address on file if you want Joby to send the invitation for you. Without one you can still create the plan and copy the link out by hand.
- Fill in your company details. The logo at the top of the page and the contact card at the bottom (phone, email, address, website) come from Company Settings. Anything blank there is simply left off the customer's page.
Step-by-step
1. Build the plan the page is made from
- Go to Settings›Quotes & Docs›Service Plans and click New plan.
- Choose a plan style at the top: Fixed price (one set price on one schedule) or Customer builds it (you offer a menu and the customer picks). See Customer builds it plans below for what that second one does to the page.
- Under Basics, fill in Name — this becomes the big headline on the customer's page.
- Write the Description. This is not filler: the page splits it into the What's included tick list. Put each promise on its own line and each one becomes its own ticked bullet.
- Add a Cover photo if you have one (PNG or JPG, up to 5MB). It becomes the full-width picture across the top of the customer's page. Leave it blank and they get a plain coloured band instead.
- Set the price and schedule, then the extras — Auto-renew and Member discount. A member discount above zero puts a badge on the page reading Members get 10% off other services.
- Click Create plan.
What the plan fields turn into
- Name — the headline over the photo.
- Description — the What's included tick list, one line per bullet.
- Cover photo — the banner image at the top.
- Price & billing — the large number and the "/ month" style label under it.
- Visits per cycle — the Visits fact box and the progress bar.
- Auto-renew — the line reading Renews automatically or Does not auto-renew.
- Member discount — the sparkle badge under the plan name.
2. Assign the plan to a customer
- Open the customer: Work›Clients and click the client, or open the job from Work›Leads.
- Click the Service Plans tab.
- Click Assign plan at the top right of the tab. (On an empty tab the same button sits in the middle, under No service plans yet.)
- In the Assign service plan window, click the plan you want under Plan template. The selected one gets a coloured outline.
- Check Customer name (required), Email and Phone. These are pre-filled from the record but you can correct them here — the email you type is the one the invitation goes to.
- Add Internal notes if you want. These are for staff only and never appear on the customer's page.
- If the client has more than one saved address, pick one under Service location. Each location can carry its own plan.
- Finish with one of the two buttons at the bottom:
- Save — creates the plan and leaves it Pending. Nothing is emailed.
- Save & send — creates it and emails the customer their link straight away.
3. Get the link to the customer
- The plan now shows as a card on the Service Plans tab with a grey Pending badge.
- Click Send invite on that card to email it. Once it has gone out at least once the button reads Resend invite, and the Invite box on the card shows the date it last went.
- The email subject is Your [plan name] membership from [your company] and it contains the button through to the page.
- To send the link yourself — by text, by chat, or to read out — click Portal on the card. That opens the customer's real page in a new tab; copy the address out of the browser bar and send that.
Copy the whole address. A plan link has two halves — the short code and a private key after it. Only the full address opens the page. If you trim it down to the tidy-looking part before the question mark, your customer gets Plan not found.
4. What the customer does
- They open the link and read the page. A blue Plan invitation banner tells them Review the terms below and activate when ready. You won't be charged until you confirm.
- They press Activate my plan. The button changes to Opening secure checkout… and they are handed to a secure Stripe checkout page to enter their card. Card details never touch Joby.
- They confirm the payment and come straight back to their plan page, which now shows a green Plan activated box reading A receipt has been sent to [their email].
If they pay by a slower method the page waits for the payment to land instead of jumping straight to green — leave it open for half a minute and it updates itself.
5. Keep the page honest as you deliver
- Back on the customer's Service Plans tab, the card now shows a Next visit ribbon. Click Schedule to book the visits you owe (Schedule visits window), or Manage once some are booked.
- When a visit is done, click Mark visit complete. If visits are already booked you get a Mark a visit complete window to choose which one.
- Every completed visit moves the Visits this cycle bar on the customer's own page and updates the line reading N visits completed lifetime.
How to check it worked
- Plan assigned: a confirmation message reads [plan name] assigned to [customer] and a card appears on the Service Plans tab with a Pending badge.
- Invitation sent: a message reads Invitation emailed to [address], the button changes to Resend invite, and the Invite box on the card switches from Not sent to today's date.
- The link works: click Portal on the card. You should see the plan name, price and the Activate my plan button — exactly what the customer sees. Anything else means the link or the plan is wrong, not the customer.
- The customer paid: the badge on the card turns green and reads Active, Member since fills in with today's date, and Renews shows the next billing date with a days-left count.
- A visit was recorded: a message reads Visit recorded (2 of 4 this cycle), the bar on the card moves, and the same numbers show on the customer's page.
- Across the whole business: open Settings›Service Plans›Activity for the Service Plans Activity page — Active, Visits this week, Past due, Renewing soon and Cancellations at a glance. Settings›Service Plans itself shows monthly recurring revenue and active subscriber counts across the top.
- Per plan: click the subscriber count on a plan row (or View customers in its menu) for that plan's roster, with a Portal link on every row.
Common mistakes
"Plan not found"
Nearly always a shortened link. The private key on the end of the address is what unlocks the page. Send the invite again, or copy the address from the Portal button rather than retyping it.
"Link expired"
The invitation has an end date that has passed. The page tells the customer to contact you for a new one — click Resend invite on the card and they get a fresh email.
Card payments were never set up
The Activate button opens nothing and a red line appears under it. Finish Activate Joby Pay on the Payments page before you send invitations out.
Editing a plan people already bought
Once one customer is subscribed the plan goes read-only and shows Locked — N customers are subscribed. Use Duplicate plan for new terms; existing members keep the deal they signed up to.
- Leaving the Description blank. The page still works, but What's included falls back to generic wording — the visit count, priority booking and support, the member discount if you set one, and "Cancel anytime". Write your own and it sells far better.
- Writing the description as one long paragraph. It arrives as one enormous bullet. Put each promise on its own line.
- Assuming Save also emails. It does not. Save just creates the pending plan — you still have to press Send invite on the card.
- Saving with no email address. The window refuses with Add an email address to send the invite, or use Save. Either add one or press Save and hand the customer the link yourself.
- Forgetting to record visits. The customer's progress bar sits at zero and it looks like you have delivered nothing. Mark visits complete as you go.
- Cancelling for a customer who only wanted to pause. On the card, End at cycle lets them keep the service they already paid for; End now stops it immediately. Pick deliberately.
- Expecting the page to show a running balance. It shows the plan, the visits and the next renewal date — not a payment history. Money detail lives on the Payments page.

What the customer sees, top to bottom
- The banner. Your cover photo across the full width (or a plain coloured band), with your logo and company name in the top corner. Over the bottom of it: the words Service Plan, then the plan name, then the member-discount badge if you set one.
- A status banner. One of Plan invitation, Membership active, Cancellation scheduled, Payment past due or Plan cancelled. Straight after a payment it is replaced by a green Plan activated box.
- The price card. The big number with its schedule beside it, and underneath a line reading Renews automatically · billed via Stripe (or Does not auto-renew). Below that, three fact boxes: Cycle, Visits and Billing.
- Visits this cycle. Active memberships only — a bar with "2 / 4" beside it and a line reading 7 visits completed lifetime.
- What's included. Your description, as green-ticked bullets.
- The action card. Activate my plan while pending, Update payment method if a payment failed. Under the button: Stripe-secured · Card details never touch our servers.
- Need to cancel? Active memberships only. Covered in Cancelling from the page below.
- Your contact card. Phone, email, address and website, all tappable, pulled from your company settings. Then a small footer line: Secure subscription portal · powered by Joby.
Tip: before you send the first invitation of a new plan, assign it to yourself with your own email and press Portal. Two minutes of reading your own page catches most typos, a missing photo, and a description that reads like a database entry.
Customer builds it plans
If you choose Customer builds it instead of Fixed price when creating the plan, the page swaps its price card for a two-step builder while the plan is still pending. You set the menu; the customer assembles their own membership and the price comes together per customer.
What you set up
- Services — each with a price. Tick Always included and the customer cannot untick it; their page labels it Included in every plan.
- Add-ons — extras the customer can take or leave.
- Frequencies — how often you are willing to come. Give one a Popular star and it wears a ★ MOST POPULAR tag on their page, and give the more frequent ones a discount to steer people towards them.
- Tip at checkout — adds a Would you like to leave a tip for the crew? block with preset amounts, Other amount and No tip, thanks.
- Customer can opt out at checkout — shows the customer a small Auto-renew yearly switch. Leave it off and renewal is simply part of the deal (they can still cancel any time).
What you do when you assign it
Any service you priced as open needs your number before the customer ever sees the page. The assign window shows a Your quote for this customer box listing them; type a price per visit for each. Miss one and you get Enter your quote for "[service name]" before assigning.
What the customer does
- Build your plan — they tick services and add-ons and use the − / + steppers for quantities. Each add-on can be one-time or, with Repeat on every visit — add it to my recurring charge, part of every visit. A running Per visit total sits underneath. Pick nothing and it says Pick at least one service to continue.
- How often should we come? — they choose a frequency. Each option shows the price per visit, the yearly total and any saving.
- They optionally leave a tip, read the Due today box — first visit, one-time add-ons, tip and the total — and press Activate plan & pay.
Once they have paid, their page settles into the normal layout, and What's included lists exactly what they picked rather than your description.
The statuses and what each one means
Pending
Created but not paid for. Their page shows Plan invitation and the Activate button. Nothing has been charged.
Active
Paid and running. Their page shows Membership active with the next renewal date and the visit progress bar.
Past due
A renewal charge failed. Their page reads Your card couldn't be charged for the latest renewal and offers Update payment method. Retries carry on for a few days.
Cancelling
Still active, but set to stop. Their page shows Cancellation scheduled with the exact end date. Your card shows Customer cancelled from portal when they did it themselves.
Cancelled / Expired
Finished. Their page reads This plan is no longer active. Contact us if you'd like to re-enroll. Re-enrolling means assigning them a fresh plan.
Paused
Shown as a grey Paused badge on your side. There is no Pause button on the customer's page — pausing is not something they can do themselves.
Cancelling from the page
An active membership has a Need to cancel? card at the bottom of the customer's page, with the reassurance You'll keep service through your current cycle. No early-termination fees.
- The customer clicks Cancel plan.
- The card turns into Cancel your plan? and names the exact date their access runs to.
- They either click Keep my plan and nothing happens, or Confirm cancellation.
- A green Cancellation scheduled box replaces it, telling them the end date and that a confirmation email is on its way.
Cancellation from the customer's page is always at the end of the cycle they already paid for — they never lose service they have bought, and no further charges are taken. On your side the card badge changes to Cancelling and the note reads Customer cancelled from portal, so you can tell it apart from a cancellation your own team did.
You can also cancel for them from the card: Cancel gives you Keep, End at cycle and End now.
Emails that go with the page
Beyond the invitation and the receipt, Joby ships a set of ready-made messages you can switch on under Settings›Service Plans›Automations. Flip a card on, adjust the timing, and it runs by itself. The ones that touch the customer directly:
- Welcome email after activation — right after they pay.
- First-visit scheduling reminder — nudges you both to get the first visit booked.
- Renewal heads-up — warns them before the next charge.
- Card-expiring warning — before a card on file runs out.
- Past-due payment recovery — chases a failed renewal.
- Remind customer before scheduled visit — so nobody is out when you arrive.
- Win-back email — after a cancellation.
There are team-facing ones too — visit-due alerts, a weekly recurring-revenue digest and a past-due roll-up. Each card has Edit copy for the subject and wording.
Who can do what
- Building and editing plans — needs Settings access. Settings›Service Plans, plus the Activity and Automations pages behind it.
- Assigning, inviting, recording visits and cancelling — needs the Service Plans tab permission for clients and for leads, set per role under Settings›Team Roles. Turn it off and the tab is simply not there.
- The customer — no login and no Joby account. Their link lets them read the page, activate, update a failed payment method and cancel. Nothing else on your account is reachable from it.
